A NEW FEATURE IN MICROSOFT TEAMS
Microsoft Teams, as we saw in the last article, is a platform in constant evolution and growth. In today’s article, we will look at one of its latest additions, Collaborative Meeting Notes.
Collaborative Meeting Notes is a new feature that allows users to collaborate in real-time on meeting notes. This facilitates documentation and collaboration between teams.
Microsoft teams are working together to provide companies with tools to improve the effectiveness of their meetings. They include the ability to keep track of what you want to discuss, with the Agenda, what has been discussed and decided during the meeting with Notes and tasks to follow.
These new capabilities are now integrated into the end-to-end meeting experience across Microsoft Teams, Loop, Planner, To Do, Office.com, and OneDrive for Business.
WHAT ARE COLLABORATIVE Meeting NOTES AND WHY ARE THEY RELEVANT?
The new Collaborative Meeting Notes is a tool in Microsoft Teams that allows users to collaborate on meeting documentation in real-time. It eliminates the need to take individual notes.
It’s a useful feature for those looking to maximize productivity during meetings and teamwork. In addition, because Collaborative Meeting Notes are part of the Loop component in Microsoft Teams, they are always synchronized and up-to-date across all instances, regardless of where they are stored.
How can Collaborative Meeting Notes help us?
Collaborative Meeting Notes allow us to work more efficiently and productively in meetings and team projects. Real-time collaboration on meeting documentation allows for greater efficiency and productivity. Meanwhile, automatic synchronization with other Microsoft tools, such as ToDo and Planner, will help our teams stay organized and on track to achieve their goals.
In addition, it is important to note that Collaborative Meeting Notes will facilitate collaboration and communication between team members. Everyone will be able to contribute and edit meeting notes in real-time.
At the same time, this new functionality improves transparency and accountability in the decision-making process. Since all attendees can view and edit the notes, it encourages teamwork.
HOW DO COLLABORATIVE Meeting NOTES WORK?
The new tool is very simple to use. Users simply access the Teams options during a meeting and click on the Notes button.
Meeting notes will be displayed in the right pane of the meeting window, with the ability to open them in the browser for more space or on a second monitor.
All participants can collaborate in real-time, create a schedule, take notes, and add tasks. In addition, when participants are assigned a task in the meeting, they will also receive an email notification. And in turn, it will be synchronized with the Planner and To Do applications.
Meeting organizers will also have the ability to add collaborative notes before meetings. They can prepare for the session by adding diaries or other materials, available in one place for all attendees.
After the meeting, the collaboration notes will still be accessible to all participants on the meeting details page of the Microsoft Teams calendar. The experience is easy to replicate, so they can be easily copied outside the meeting, into chats, group chats, emails, and other documents. This makes preparation and follow-up during meetings even smoother.
Importantly, the new collaborative notes file will generate a shared company link (CSL) by default. This means that meeting participants will be able to access and collaborate on notes. Even after the meeting, easily, quickly, and securely.
When will Collaborative Meeting Notes be available?
- Preliminary version: Implementation will start at the end of April and is expected to be completed by mid-May 2023.
- Standard version: Implementation will start at the end of May and is expected to be completed by the end of June 2023.
